Events
Slate allows for the creation and scheduling of events through a single event management system. Invitations, guest limits, deadlines and more can be established in Slate. A cursory glance at events may have you asking "Are there similarities between events and forms?." The answer is, "Yes!" Events are essentially Slate forms with one key difference. Events have a "location" where as forms do not.
Setting Up An Event Template
The basis of any event is the event form. The event form is very similar to a regular slate form, but offers the user the ability to set a physical or online location. That said, each user is encouraged to first create an event template to in order to save you time and effort.
Templates house your event form as well as any associated event communications. If the user intends to host more than one event, the template can be used for each event. This allows the user to track all past and future events that are housed under the template. You do not need a template to proceed in creating an event, however.
Proceed to the highlighted icon to get started.
Select New Template to create a space to house our event form.
On the details tab, give your template a name and change the time zone from Autodetect from Location to (UTC-0:600) Central Time. Change the user to the desired person if different from the current user. Lastly, add an email next to Admin Notify Email if you wish for someone to be notified of each registration.
Move on to the location tab. Leave the Online Event field blank unless you intend to host an online event. Begin typing the location name and and select the desired location if it can be found within Slate. The address fields will auto populate if the location is saved in slate, but can easily be manually entered.
The description tab can be left blank if desired. Anything entered here will be displayed on the user-side of the event form.
The Registration Settings tab allows you to set the registration limit and whether you would like guests to be included within that figure. Custom limit messages allow the user to display custom "Event Full" messages if desired. A waitlist can be established and set to feed into the main registration list if checked.
The user can check the box to Allow Rescheduling under the Rescheduling tab. This will allow registrants to reschedule from a list of other events under the current template or other available events. *Important: Anything the user alters within a template will automatically update for all associated events.*
The user can now edit the event communications, the event form, and create additional event instances which use the aforementioned communications and forms. See Creating a Form in Slate for more on editing these features.
The user can query directly from the template (all associated events) by selecting New Query from the right-hand menu.
Slate will automatically pull in all exports associated with the event. The query can be run immediately so any interested party can view the date on your registrants.
Skipping New Report for now we will move on the the New Events menu. This menu is the same as our first. Simply give your event a name, a date, and a deadline. Once saved, the other options will autofill based on the template. *Note: The user can create a series of events at one time by selecting Recurrence and entering the appropriate date range. Ensure the events are marked as active and set correctly. If not, each individual recurrence will need to be update manually!*
The associated event will now appear under the template itself.
Finally, ensure that your individual instances are changed from tentative to confirmed. Tentative events cannot be open for registration.
Simply click the desired event and select edit. Change the status from tentative to confirmed /active.
